How do I know if Managed Print Services is Right for My Business?

You might have heard about Managed Print Services, but you’re not sure whether or not it is a service your business would benefit from. After all, its printers and copiers we’re talking about. How difficult can it be? However, the question should not be how hard understanding print equipment is; instead ask yourself the following questions and uncover the benefit a Managed Print Services program could provide your business.

#1: Does your office have printing technology?

If you have 3 printers in your local small-town office or if you have hundreds in 10 offices scattered across the country, Managed Print services are right for your business. The benefits of print management can apply to any business, regardless of size and print equipment quantity.

#2: Is there a strategy behind your printing?

Most organizations do not take the time to define a print strategy. It is time-consuming and falls at the bottom of the priority list. A lack of process can cost a significant amount of money, in the long run. The costs correlated with printing can add up to between 1-10% of a businesses’ total revenue. Installing a print strategy that effectively monitors and manages your fleet of equipment can provide your company cost savings of up to 30%.

#3: How much are your print costs?

Most businesses do not have an exact understanding of their print costs. Commonly we find businesses only take into account the cost of equipment, service and supplies.

However, these hard costs are only a portion of what makes up your total printing investment. When determining this number, you also have to consider numerous indirect costs that can significantly impact your total investment. You must take into account every component: equipment, supplies, maintenance, employee burden rates and equipment life. These add up much higher than anticipated, which is an unpleasant surprise for many businesses.

#4: Do you want to save time and money?

As we’ve already suggested, implementing a print process could save your business up to 30%. Additionally, an initial print technology assessment will uncover unknown print costs and missed savings opportunities. Many MPS programs save companies money because they allow employees to focus on their priorities and leave these print technology duties to professionals who perform these tasks on a daily basis.

These cost-saving benefits are achieved by:

-Consolidating vendors, equipment makes and models and contracts
-Improving workflow
-Automating supply replenishment
-Providing support, help desk access and maintenance
-Cutting outsourcing costs
-Eliminating the need for personal printers
-Determining optimized equipment placement
-Tracking usage and adjusting

These questions are positioned to get you thinking about your current print environment and how it is being managed. Every company has a unique situation, but we believe Managed Print Services will provide value to most businesses. Request a free print technology assessment to get a more solidified answer to the question, “How do I know if Managed Print Services is right for my business?” Your assessment results will give you your answer.

Windows 10 to launch this summer in 190 countries

Microsoft is planning to release its Windows 10 operating system in the summer. While the software maker isn’t naming an exact date, Windows chief Terry Myerson is committing the company to a summertime launch today. “We continue to make great development progress and shared today that Windows 10 will be available this summer in 190 countries and 111 languages,” says Myerson. Microsoft is making Windows 10 available as a free upgrade for existing Windows 7 and Windows 8 users for a year, and that offer will start this summer.

As part of Microsoft’s upgrade plans, the software maker is partnering with Lenovo and Tencent to offer Windows 10 in China. Lenovo will have Windows 10 upgrade services at 2,500 service centers and some retail stores in China. Tencent is also offering an upgrade pack with a variety of popular apps including QQ. Both partnerships are clear moves by Microsoft to make Windows available in China, and a way to combat issues of software piracy in the region. Microsoft is even offering its Windows 10 upgrade to customers who have non-genuine copies of Windows. That’s a big change to Microsoft’s previous attempts to tackle software piracy in China.

Fairfield, NJ – Jan 26, 2015 – KYOCERA Document Solutions America, one of the world’s leading document solutions companies, today announced ten Buyers Laboratory, Inc. (BLI) awards for multiple multifunctional products within their line-up. Kyocera was commended for unprecedented reliability, exceptional color output and outstanding environmental features. The independent lab’s award criteria is rigorous and Kyocera’s advanced features across its entire range stood out, enabling them to achieve BLI’s prestigious ‘Winter Pick 2015’ awards.
These much sought-after accolades were given after extensive testing over several months. During the test period, the Kyocera products surpassed the others for reliability and gained top marks for image quality. Special mention was made of Kyocera’s software development platform, HyPAS; which allows for integration with an extensive number of Kyocera-developed business applications and third-party partner products. Examples includes Kyocera-developed CentraQ Pro, DMS Link and PinPoint Scan, as well as integration into Microsoft SharePoint offerings and Microsoft Exchange through Kyocera-developed connectors.
“At Kyocera our primary objective is to resolve an organization’s business challenges through a total document solutions approach.“ said Danielle Wolowitz, senior director corporate marketing for KYOCERA Document Solutions America. “This proven approach allows Kyocera to leverage its device technology, business applications and customized services in a way that satisfies the customer’s need for performance, reliability and value. We are honored to have once again won these prestigious awards; and that BLI has validated Kyocera’s role as a leading provider of document imaging technology for any office environment.“
Kyocera also received recognition for its crisp print quality and excellent utility features. The feature-rich, intuitive KX 6.0 print driver, standard across all devices, brings increased flexibility and efficiency to the office. The TASKalfa and ECOSYS products in the tests have strong green credentials, as noted by Martin Soane, BLI’s Lab manager, who stated, “When durability is combined with a high average toner yield and the long-life drum, users can expect minimal downtime and, ultimately, a very low cost of ownership.”

Outstanding Multifunctional Devices
“Kyocera delivered a remarkable performance this Pick season, taking home wins in nearly every category from mid- to high-volume in both monochrome and color”, said Pete Emory, BLI director of Laboratory Testing. “Time and again, Kyocera impresses us with their consistency across product lines and their clear emphasis on convenience for the end user,” he continued.
The TASKalfa 8001i, 3510i and 3010i were the recipients in the monochrome MFP category, while the TASKalfa 7551ci, 6551ci and 3551ci were the winners in the color MFP category. All in all, the devices stood out most for their exceptional reliability and ease of use. BLI analysts praised these models for convenient features such as the ability to add shortcuts to control panel menus with the push of a button and their redesigned print driver, which includes PCL and PostScript and the ability for users to seamlessly switch between them.
For its exemplary image quality and business application / solutions compatibility, the ECOSYS M3550idn has been honored with the BLI Winter 2015 Pick for Outstanding A4 Monochrome MFP for Mid-Size to Large Workgroups. This 52-ppm desktop multifunctional printer proved to be highly reliable, requiring no service of any kind over the 125,000 impression test duration.

Outstanding Achievement in Energy Efficiency
Kyocera continued to validate its commitment to ‘best in class’ energy efficiency. When compared to comparable monochrome MFPs in its speed class, both the ECOSYS M3560idn and ECOSYS M3550idn consumed 47 percent less energy than the competitive average, while the ECOSYS M6526cdn consumed 43 percent less energy than average. Each device also incorporates standard energy-saving features such as toner-save mode to help reduce toner use while printing and copying, and a proof mode which helps to reduce paper and consumable waste

What is Bring Your Own Device?

Bring your own device (BYOD) is an IT policy where employees are allowed or encouraged to use their personal mobile devices — and, increasingly, notebook PCs — to access enterprise data and systems. There are four basic options, which allow:

  • Unlimited access for personal devices.
  • Access only to non-sensitive systems and data.
  • Access, but with IT control over personal devices, apps and stored data.
  • Access, but prevent local storage of data on personal devices.

Benefits of bring your own device

  • Increased productivity and innovation:
  • Employees are more comfortable with a personal device and become expert using it — making them more productive.
  • Personal devices tend to be more cutting-edge, so the enterprise benefits from the latest features. Also users upgrade to the latest hardware more frequently.
  • Employee satisfaction: Your people use the devices they have chosen and invested in — rather than what was selected by IT. 83 percent of users considered their mobile device more important than their morning cup of coffee. Allowing employees to use personal devices also helps them avoid carrying multiple devices.
  • Cost savings: BYOD programs sometimes save budget by shifting costs to the user, with employees paying for mobile devices and data services. However, this often results in little to no savings, so do not base your decision primarily on anticipated savings.

Store Documents Securely with Heritage Enterprise Document Management

There are many little things to worry about when you run a business. Some of these are operational, while others strictly administrative. Businesses that have a lot of clients tend to run into concerns related to storage. This storage includes documents and other data associated with client accounts. At one time, the main way to store this material was in the office in paper form. There were definite problems with this type of storage.

Here are some of the top issues businesses faced:

  • Storage Supplies
  • Storage Space
  • Secure Techniques
  • Limiting Access

Documents management is a way to modernize the process. Companies that provide these services are experienced working with diverse customers. They know how to meet needs as they relate to the electronic storage of documents and data. This is one of the most secure methods of maintaining documents, as well as, limiting access. Let’s take a look at some of the benefits of this storage option.

Organize Documents Remotely

There are many different benefits associated with documents management. These services provide you with a way to organize according to individual clients. Accounts, contracts, financial records and other data can be stored according to services or other specific details. These documents can be used, printed, edited and filed remotely. This is especially good for businesses with traveling staff that need access from mobile devices.

Limit Staff Access

One of the concerns that businesses may have is who can read client information. Managing documents is a great option when it comes to limiting access. Only staff members associated with clients can be allowed this access. In some instances, this may include teams of employees, as well. The more protection you provide your clients, the better your reputation.

It is possible to offer your clients the best in protection where data is concerned. Documents management is a terrific way to provide this type of security. Information related to clients are stored electronically. At the same time, these documents are only accessible by approved employees. You don’t have to worry about who sees sensitive or personal information. As your reputation grows for providing these services, so does the number of clients you are likely to attract.

How Document Management Improves Your Business

Though technology has become such an integral part of the workplace, many businesses are still using antiquated filing systems. Document management is the means by which information is electronically stored, tracked, and managed. Business owners should switch to this method of organization for several reasons.

How Businesses Benefit From Management Systems

There are many benefits associated with management systems, some of which include:

  • Increased security
  • Easier document retrieval
  • Easier system backups

Some business owners may be reluctant to use an electronic management system because they are worried about hackers accessing their businessesU information illegally. While such a fear is not completely unfounded, people do not need to worry about a lack of security. The best management systems use encryption codes. Without access to credentials, hackers will find it extremely difficult to break into a computer system.

Document Retrieval Made Easy

With a physical filing system, losing a document can be a stressful situation. Workers are forced to carefully search through every filing cabinet and every folder in a vain attempt to hunt down an important piece of information. With an electronic management system, such a scenario would never happen. Retrieving files is a much easier and far less stressful process.

How to Improve Efficiency

Document management allows people to run their businesses with greater efficiency. Managing and editing documents becomes a much easier process when people make use of the latest technology. Manage your business well
